Step-by-step instructions to get up and running.
Get Started
Download and install FlipBlip Techlog on Windows, or install the APK on Android (allow installation from unknown sources when prompted).
Accept the Terms of Use on first launch and tap Get Started.
Go to Menu → Settings and enter your technician name. This auto-fills on all work orders and PDFs.
Optionally add your business name — if set, it appears as the main header on all PDFs above the property name.
Optionally set a 4-digit PIN for app lock under Menu → Settings → PIN Lock.
Add Your Properties
Go to the Properties tab and tap + Add Property.
Enter the property name, address, city, state, and zip. Add any notes about the property.
Tap the property card to open it, then tap + Add Unit for each apartment.
For each unit enter: unit number, bedrooms, floor, tenant name, tenant phone, move-in date, status (Occupied / Vacant / Turnover), and any access notes.
Setting a unit's status to Turnover automatically creates a Move In/Move Out work order for that unit and opens the inspection form.
Set Up Your Storeroom
Tap any property card → tap the Storeroom card at the bottom.
On the Parts tab, tap + Add Part. Enter: name, category, unit label (each, box, ft, etc.), quantity on hand, unit price, low stock threshold, and supplier/part number.
On the Tools tab, tap + Add Tool. Enter: name, category, serial number, purchase date, condition (Good / Fair / Needs Service / Out of Service), and next service date.
Parts at or below their low stock threshold will appear as warnings on the Dashboard and in the Inventory tab.
When you complete a work order and log parts used, the app prompts you to deduct those parts from the storeroom automatically.
Set Up Preventive Maintenance Tasks
Go to the PM Tasks tab. A set of default tasks is pre-loaded for common property maintenance.
Default tasks include: furnace filter replacement (90 days), AC filter check (90 days), AC service (180 days), water heater inspection (180 days), smoke detector test + battery (90 days), CO detector test + battery (90 days).
Tap any task to edit the interval, assign it to a specific unit, or add notes.
Tap + Add Task to add property-specific tasks not in the defaults.
When a task is due, it surfaces on the Dashboard. Tap it, mark it complete, and the next due date advances automatically.
Set Up Send Configurations
Go to Menu → Settings → Send Configurations.
Tap + Add Config to create an email preset. Give it a label (e.g. “Office” or “Supervisor”).
Enter recipient email address(es), a subject template, and a message body template.
You can have multiple configs for different recipients — office, supervisor, city inspector, etc.
When you share a completed work order, you pick a config and the native email client opens with the work order PDF, all attached photos and documents, and the pre-filled subject and message ready to send.
Log Your First Work Order
From the Jobs tab, tap + New and select the job type: Work Order, General Work, Move In (2BR), Move In (3BR), Move Out (2BR), or Move Out (3BR).
A work order number is auto-generated (e.g. WO-20260727-001).
Select the unit (or enter a location label for general/common area work). Set priority: Emergency (target 24 hours) or Routine (target 30 days).
Fill in what the office said (Office Notes) and what the tenant reported (Tenant Reported).
When you have completed the work, return to the work order and fill in Work Done. Add photos, documents, and any parts used.
Tap Save as Done. If you logged parts used, the app asks if you want to deduct them from the storeroom.
Tap Share → pick your send configuration → your email client opens with the work order PDF and all attachments pre-loaded, ready to send.
OCR Form Scanning (Optional but useful)
Go to Menu → Settings and enter your OCR.space API key. Get a free key at ocr.space — your key is emailed to you after registration. Free tier: 500 scans/day.
To print a blank work order intake form for the office to fill out by hand: go to Jobs → Print Blank Form. This generates a printable PDF with fields for unit, priority, type, office notes, and tenant info.
When you receive a filled paper form, photograph it and use OCR Scan in the app to auto-fill the work order intake fields.
Alternatively: use Google Lens on your phone to photograph the handwritten form, copy the recognized text, and paste it into the Parse tab — the app maps it to the right fields automatically.
Back Up Your Data
Go to Menu → Export and tap Export All Data to save a complete backup of all work orders, properties, units, inventory, and PM tasks.
Store the file somewhere safe — email it to yourself, save to Google Drive, or copy to a USB drive.
To move your data to a new device or sync between Windows and Android: export on one device, transfer the file, and tap Import / Restore Data on the other device. The app reconciles records — newer entries win on conflict.
Use Export New Changes for quick incremental backups after your first full export.
Managing Your License Activations
Open the receipt email from your FlipBlip purchase.
Click View Order to go to your order on Lemon Squeezy.
Find your license key and click on it to view active device activations.
Click Deactivate next to any device you no longer use to free up that activation slot.
